For our location in Houston, TX, we are looking for an Administrative Assistant (m/f/d) who will provide high-level administrative support to our senior leadership team. In this role, you will coordinate key office operations, manage priorities across multiple stakeholders, and help ensure the smooth day-to-day functioning of the organization.

Your Responsibilities

  • Provide comprehensive administrative support to the President, CFO, COO, and VP of Sales, including calendar management, meeting coordination, and travel arrangements
  • Coordinate day-to-day office operations, ensuring a well-organized and efficient workplace environment.Manage relationships with facility providers, vendors, and external service partners
  • Support onboarding activities and oversee office-related budgets, expenses, and supplies
  • Act as the local coordinator for SHEQ matters, supporting compliance, audits, documentation, and reporting
  • Assist the Sales team with customer communications, account information, and the coordination of customer events, trade shows, and visits
  • Prepare presentations, reports, and correspondence while handling confidential information and supporting special projects

Your Expertise

  • Several years of experience in an Executive Assistant, Office Management, or similar administrative role
  • Strong organizational skills with the ability to manage multiple priorities and stakeholders
  • Excellent written and verbal communication skills in a professional environment
  • Proficiency in Microsoft Office, especially PowerPoint, and common scheduling tools
  • High level of discretion and professionalism in handling confidential information
  • Strong attention to detail and confidence in interacting with senior executives, vendors, and external partners
  • Experience with expense management, budget tracking, and supporting multiple leaders is an advantage
